Privacy Policy

Last Updated: November 5, 2026

RestoreFlow is a cloud-based restoration management platform (the "Platform") developed and operated by Simon Markus, an individual developer ("RestoreFlow," "I," "me," or "my"). This Privacy Policy describes the types of information submitted to or processed through the Platform, how that information is used, and the choices available to users. This policy applies to restoration companies and their authorized personnel who access the Platform during the current beta testing period.

Account Information

When a restoration company registers for access to the Platform, I collect information necessary to create and maintain the account. This includes the company name, primary contact name, business email address, and phone number. Account administrators may create additional user profiles for employees and contractors within their organization. Account information is used to provide access to the Platform and to communicate about service updates, issues, or changes during the beta period.

Customer and Property Records

Restoration companies use the Platform to store records about their own customers and the properties associated with restoration jobs. This information is entered by the restoration company's authorized users and may include customer names, contact details, property addresses, and property-specific notes. I process this information on behalf of the restoration company. The restoration company is responsible for ensuring it has an appropriate basis to collect and store this information, and for obtaining any necessary consents from its own customers. Privacy requests relating to customer or property records may need to be directed to, or coordinated with, the restoration company that entered and controls those records.

Restoration Job Information

The Platform is designed to help restoration companies create and manage job records. Job records may include job type, status, assigned personnel, site addresses, dates, notes, and related documentation entered by the restoration company's users. This information is stored and processed on behalf of the restoration company. Authorized infrastructure providers, including Supabase, may process this information as necessary to operate the Platform. It is not used for any purpose beyond operating the Platform. I do not share job records with other third parties except as directed by the restoration company or as required by law. Privacy requests relating to job records may need to be coordinated with the restoration company that controls those records.

Insurance Claim Information

The Platform allows restoration companies to record insurance claim details associated with jobs. This may include insurance carrier names, policy numbers, claim numbers, adjuster contact information, and claim status notes. This information is stored and processed on behalf of the restoration company. Authorized infrastructure providers, including Supabase, may process this information as necessary to operate the Platform. I do not share insurance claim information with insurers or other third parties except as directed by the restoration company or as required by law.

Employee and Work Records

Restoration companies may add employee and contractor profiles to the Platform for the purpose of job assignment and operational management. Employee information may include names, contact details, roles, and records of job assignments within the Platform. This information is used solely to support the operational features of the Platform and is not used for any other purpose. Employees whose information is stored in the Platform should contact their employer regarding how their data is managed, as the restoration company controls what is entered and retained. Privacy requests relating to employee records may need to be coordinated with the restoration company that entered those records.

Third-Party Cloud Service Providers

The Platform currently uses Supabase to provide database, authentication, and cloud data storage services. Information entered into the Platform is stored on Supabase infrastructure. Supabase and other authorized infrastructure providers process information as necessary to operate the Platform. I do not sell personal information to third parties. During the beta period, the specific providers in use may change as the Platform is developed. Questions about current infrastructure providers can be directed to support@restoreflow.io.

Data Security

I take reasonable steps to protect information stored in the Platform, including using encrypted connections (HTTPS) for data in transit. However, RestoreFlow is currently in beta development operated by a single individual developer. Formal security audits, documented incident response procedures, and enterprise-grade access controls have not yet been established. Users should be aware of this limitation and avoid storing highly sensitive personal data in the Platform until security practices have been more fully developed and documented. I encourage account administrators to use strong, unique passwords and to report any suspected unauthorized access promptly.

Future AI Processing

A centralized AI assistant is a planned future capability for the Platform. This may include functionality such as automated job summaries, suggested workflows, or data analysis tools. No AI processing of user data is currently active. If AI features are introduced, this policy will be updated to describe what data is processed, by which providers, and for what purposes, before those features are made available. Users will be notified of material changes to this policy in advance.

Data Retention

I retain account and operational data for as long as an account remains active. During the beta period, data retention practices are still being defined. Restoration companies may request deletion of their account data by contacting me at support@restoreflow.io. I will make reasonable efforts to fulfill deletion requests, except where retention is necessary for legal compliance or legitimate operational reasons. I cannot currently commit to specific deletion timelines, and users should factor this into their decision to store data in the Platform during beta.

Deletion Requests

Restoration companies and, where applicable, their customers or employees may submit requests to delete personal information stored in the Platform. Requests should be submitted by email to support@restoreflow.io. Where a deletion request relates to records entered and controlled by a restoration company — such as customer, property, job, or employee records — I may need to coordinate with or refer the request to that restoration company. I will acknowledge receipt of deletion requests and make reasonable efforts to process them. Certain information may be retained where required for legal compliance or dispute resolution. During the beta period, deletion processes are not yet fully automated and will be handled manually on a case-by-case basis.

Privacy Inquiries

If you have questions or concerns about this Privacy Policy or the handling of information in the Platform, please contact me at support@restoreflow.io. Please include your company name and a description of your inquiry. I will do my best to respond in a timely manner. This policy will be updated as the Platform develops and as legal review is completed. Material changes to this policy will be communicated to users before taking effect.
